Overview

The MeetingPod is a paperless meeting communication system.  It is used to share all the relevant information needed for a successful meeting and automatically sends this by e-mail to all the attendees at the end of the meeting.

Being paperless, the MeetingPod saves on the energy required to produce paper and does away with the need for a high energy projector.  Overall, the system can save around 85% of a meeting’s carbon emissions compared to a paper-based meeting.

The MeetingPod lets you share:

• Attendees’ names, roles and organisations
• Papers for the meeting
• PowerPoint presentation material

And because the system can be used to note all the discussions around the table, it can also save:

• Key decision points
• Personal notes
• Minutes
• Votes
• Messages
• Feedback & questionnaires

Information, such as the papers for the meeting, can be sent to the venue and loaded before your meeting, or set-up at the start of your meeting and downloaded from a USB memory stick.

At the end of the meeting, all the stored information and that generated during the session is automatically e-mailed to all the attendees or saved onto a USB memory stick. This gives everyone present a record of the entire event and, because the e-mail is compatible with Microsoft Outlook, it’s simple to access again in the future.

Using the MeetingPod at a meeting

If you’ve been invited to a MeetingPod meeting by the host, just turn up as usual and you will see how simple the system is to use.

If you’re the meeting’s host and it’s the first time you have used the MeetingPod, please arrive around 15 minutes early.

Send the venue any papers (.doc or .txt format) and presentations (.ppt) that you
want to view during the meeting beforehand, or bring them with you on a USB memory stick on the day of the meeting. If you want to hold any votes or questionnaires during the meeting, let the venue know and they can help set these up for you.
